NAS and File Server Setup for Small Businesses

Your shared files live on one PC in the corner, an old server nobody wants to touch, or a pile of USB drives and Dropbox folders with several copies of everything. A NAS (network-attached storage) keeps the office's files in one place and controls who can open each folder. We supply and set it up, add a separate backup and test a restore for businesses across London, Berkshire and Surrey. The NAS, drives and setup are covered by a fixed quote, and any monthly cloud storage cost is shown separately.

01

One PC acting as the server

Everyone saves to one desktop. When it is switched off or fails, nobody can work, and there is no way to keep staff out of folders they should not see.

02

Files spread everywhere

USB drives, Dropbox, laptops and old disks, with several copies of the same project and nobody sure which one is current.

03

An old server nobody trusts

A Windows server that is out of support, slow and noisy, and now only used for shared files and backups.

NAS or the cloud?

Is a NAS right for your office? An honest check.

A NAS is not always the answer. If Microsoft 365 or Google Workspace would serve you better, we will say so before you spend anything.

A NAS suits you if

You work with large files such as video, photos or drawings, your internet line is slow, or you want to retire an old server and back up every computer in one place.

The cloud suits you if

You only have a few gigabytes of documents, most of the team works remotely, or people need to edit the same Word or Excel file at the same time in SharePoint.

Often it is both

Many offices keep day-to-day documents in SharePoint or OneDrive and use the NAS for big files, archives and a local copy of the cloud.

Backups done properly

Your NAS needs a backup too.

RAID can keep the NAS running when a drive fails. It does not bring back deleted files or protect you from ransomware, fire or theft, so the NAS still needs a separate backup. We plan backups around the 3-2-1 rule.

3 copies of your data

The live files on the NAS, plus two backups.

2 different types of storage

For example the NAS disks plus cloud storage, or a USB drive kept separately.

1 copy offsite

In the cloud or at another address, so one bad day cannot take everything.

Snapshots against mistakes and ransomware

Snapshots let us roll a folder back after files are deleted or encrypted. Where the NAS supports it, we lock them so they cannot be deleted for a set period.

Recent job

Vertumnus Productions: one secure place for their media.

Their footage and photos were spread across many hard drives and Dropbox, with duplicate copies and no clear structure. We supplied a Synology RS2825RP+ rackmount NAS with 64 TB of storage and organised everything into one media library.

One clear structure

Archive, Movies and Photos folders, so the team can find any project without hunting through drives.

Mac backups on site

The office Macs back up to the NAS with Time Machine.

Limited access with MFA

Staff only see the folders they need, and NAS sign-ins use multi-factor authentication.

FAQs

Questions people ask before booking.

How much does a NAS setup cost?

It depends on how much you store, how many people use it and whether you need a desktop or rackmount unit. We look at your files first, then give you a fixed quote that covers the NAS, the drives and the setup. Any monthly cloud storage cost is shown separately.

Do you supply the NAS and the drives?

Yes. We supply the NAS and NAS-rated drives. We work with Synology, QNAP, UGREEN, UniFi and other brands, and choose the one that fits your files and budget.

Can a NAS replace our old Windows server?

For shared files and computer backups, often yes. We check permissions, capacity, applications and staff logins first. If the server also runs a business application or your user accounts, it may need a replacement server or a move to Microsoft 365 instead.

Is a cheap entry-level NAS good enough for a business?

For one person storing light documents it can be. For a team, we size the processor, memory, network connection and disks to the number of users, file sizes and backups, rather than picking on price or bay count alone.

Can several people edit the same Excel file on a NAS at the same time?

Not in real time. On a NAS, file locking usually means one person edits a workbook while others can only read it. If your team needs to work in the same spreadsheet together, that file belongs in SharePoint or OneDrive, and we can run both side by side.

How do we reach our files from home?

Through a secure connection such as a VPN, with multi-factor authentication where the remote-access service supports it. We do not expose the NAS directly to the internet, because exposed NAS devices are a common way in for ransomware.

Is RAID a backup?

No. Most RAID layouts keep the NAS working if a drive fails (RAID 0 gives no protection at all). It will not bring back a deleted folder or protect you from ransomware, fire or theft. You still need a separate backup with one copy offsite. Our free RAID calculator shows how much usable space each layout gives you.

What should we do if the NAS starts beeping?

Do not pull drives out or start swapping them. A beep usually means a drive or power problem. Check that your backup is up to date, then call us. The handover note we leave covers exactly this.

Can the NAS back up our Macs and Microsoft 365?

Yes, on compatible systems. Macs can back up to the NAS with Time Machine, Windows PCs with supported backup software, and selected NAS models can also back up Microsoft 365 or Google Workspace mail and files. We confirm compatibility before quoting.

Do you offer support after setup?

Yes. We can check drive health and backup alerts, apply updates and help when something goes wrong, either when you need us or on a regular schedule.
